Operations Assistant

Operations Assistant

We are seeking a highly motivated and detail-oriented Operations Assistant to support our fast-paced startup company. The ideal candidate will be responsible for assisting with daily operations and financial matters. They plan purchases, negotiate contracts, and coordinate budgeting to make sure business continues as usual with minimal downtime or interruption from one department’s workflow.


Responsibilities include:

  • Creation, registration, and filing of Invoices
  • Following the payment and reconciling the invoices
  • Create reports for business expenses, financial records, and audits
  • Managing accounts payable and accounts receivable
  • Conduct general and clerical office tasks
  • Assist in coordinating and overseeing daily operations, including scheduling, communication, and task management
  • Support in managing inventory, orders, and shipments
  • Assist in monitoring and improving internal processes to ensure efficiency and effectiveness
  • Conduct research and gather data to inform decision-making
  • Prepare reports and presentations to communicate findings and recommendations to leadership
  • Assist in managing office supplies and equipment, including procurement and maintenance 
  • Support HR functions, such as maintaining and updating the HR administrative tracking system, onboarding, and employee record keeping
  • Assist with special projects and initiatives as needed

Qualifications:

    • Bachelor’s degree in business administration, finance, operations management, or a related field preferred
    • At least 1 year of experience in operations or a related field, preferably at a startup
    • Highly organized and detail-oriented with excellent time management skills
    • Strong communication and interpersonal skills, with the ability to work effectively with cross-functional teams
    • Proficiency in Google Suite
    • Experience with financial software 
    • Analytical and problem-solving skills
    • Attention to details
    • Excellent organizational skills
